1. Booking
Your booking is made with Transition Spain. All teachers/group leaders for schools or individuals for Host-Family stays will be interviewed in order to confirm travel dates, student and teacher numbers, personalized activity programmes, etc. A booking form and travel contract will be sent to all participants in the Transition Spain programme. If required, we will recommend our collaborating Travel Agent in order to proceed with the airline booking and you will be bound by the travel agent's terms and conditions for booking the flight.
Once we receive the signed booking forms, travel contracts and the full deposit per student, your booking is formalized. The teacher/group leader for schools or parent/guardian for individuals will be our point of contact, unless we are advised otherwise.
2. Deposits/Payment
The full deposit amount is paid in one installment: €100 per student for schools or €200 per student for host-family immersion stays. Deposits are non-refundable and can be paid by bank transfer or PayPal. Full payment is required 8 weeks* prior to departure date (*Please contact us directly regarding updates during the Corona Virus pandemic).
3. Insurance Cover
All students must have Travel/Medical Insurance Cover for the duration of their stay. Unless otherwise advised, travel/medical insurance is not included but we will be happy to recommend an Insurance Company and/or organize an insurance policy if so required.
4. EHIC (European Health Insurance Card)
All students and teachers traveling must have a EHIC. This allows passengers to access health care, if necessary, while in EU countries. All information can be found on: www.ehic.ie
5. Free Place Ratio for Schools
Our standard free place ratio is 1 free teacher/leader with every 10 paying passengers. However, you can choose to bring more or less leaders on the tour and the price will increase/decrease accordingly.
6. Change in Numbers for Schools
Please advise us as soon as possible if you have extra passengers, before confirming with them, so we can check availability with the airline and hotel, if necessary. If any passengers cancel from the tour, please be aware that this may affect your tour price and free place ratio due to the shared costs involved.
7. Cancellation Charges (Please contact us directly regarding flexible cancellation charges during the Corona Virus Pandemic 2020-2021)
The group leader must advise Transition Spain by email or letter as soon as they receive a cancellation. Deposits are non-refundable but can be transferred to a replacement passenger. (Check with travel agent regarding applicable name change fees if airline seats have been purchased).
Our cancellation charges are as follows:
– 31 – 65 days prior to departure – 80% of the tour price.
– 30 days or less prior to departure – 100% of the tour price.
8. Passports
A valid passport is required for the duration of your stay. According to Spanish legislation (Article 4 of Organic Law 4/2000), foreign nationals in Spain must carry identity documents issued by the country of citizenship at all times.
9. Personal Property
We will not take responsibility for any property belonging to any group member that is lost or misplaced due to negligence while on tour.
10. Contingency Fund for Schools
We would suggest that the group leader carries an adequate contingency fund in case of any unforeseen events.
11. Supervision
All students will be required to sign a Behaviour Contract before traveling. For School tours, It is the responsibility of the group leaders to ensure that their students behave in the correct manner at all times. Students should be respectful to guides, coach drivers and hotel staff or Host-families during their stay. If damage is caused to any property, such as bedrooms or the coach, students will be held responsible for their actions. Any damage caused will be charged accordingly. No students under 18 may consume alcohol or smoke during their stay.
12. Emergencies
In case of any emergency while on tour you will be provided with an emergency telephone number in your travel pack in order to contact our staff.
13. Delays
Unfortunately, from time to time, strikes, weather conditions or circumstances of 'force majeure' beyond our control can affect travel arrangements. For outbound travel if you are delayed in any way, please let us know so we can contact the Spanish coordinators, the coach company and the hotel to advise them of your delay.
14. Alterations to your programme
Transition Spain aims to satisfy your personalized requirements and expectations from the time of booking. If any changes have to be made to your programme, due to unforeseen changing circumstances, you will be advised you as soon as possible. Our team will endeavour to ensure that the same standards are met and a satisfactory alternative is provided.
15. Events beyond our control
We regret that we cannot accept liability or pay any compensation where unforeseeable events, outside our control, prevent contractual obligations being carried out. War, threats of war, natural or nuclear disaster, volcano eruptions, ‘force majeure’, closure of airports/ports, terrorism, political unrest, industrial disputes, adverse weather conditions, technical faults or accidents involving transport, fires and ‘acts of God’ are all classed as events outside of our control. If any of these unlikely events occur we may have to cancel or rearrange your tour.
16. Data Protection
Transition Spain is committed to protecting your personal information. Any contact details supplied will only be used for administration purposes. On occasion we will have to provide personal information to our suppliers and agents in order to enhance the service.
17. Marketing:
By enrolling to this programme, parents and student consent to the reasonable use of the student’s details and achievements, including images and recordings, of the student howsoever made, for promotional purposes. Transition Spain must be notified in writing at the time of booking if you do not agree to any aspect of this.
